Rules and Regulations

New Commercial Member Rules and Regulations became effective in September 2010. There have been a number of significant changes in the documents so please review the document to avoid any unnecessary difficulties on show site.
 
MUSE is now using the IAEE Guidelines for Display Rules and Regulations as MUSE’s official rules regarding the physical exhibit space. The majority of the rules are the same as what were used in 2010 however there is a significant change in the rules for end cap booths. Please read the new rules carefully before purchasing booth space.

Booth Map and Exhibitor List 

The booth map is updated and posted frequently however due to the ongoing nature of the booth sales process, it is likely that some booths have been sold since the most recent map has been posted. During the purchase process you will provide a list of your top three booth choices so that you can be assigned a secondary choice if someone who purchased prior to you has selected your first choice of booths.

Remember, timing is key. Booths are assigned in the order they are purchased.  Delaying purchasing booth space results in the number of booths available to select from becoming more limited

There are no complimentary attendee/booth/staff badges included in the booth price. 
Exhibitors must purchase a conference registration for each attendee at the current conference rate.

Attendee Lists

Once registration is opened, the attendee lists are posted weekly until the week prior to the event when they are posted daily until the final day of the event. To download the attendee list:
 
  1. Log into the website with your username and password.
  2. On the left side menu click on "Library".
  3. Select "MUSE Event" or International Conference Files"
  4. Select the city and year of the desired conference.
  5. Download the .xls file.
*Helpful Hint:  Commercial Member's membership numbers begin with 11V or 12V while Facility Member's membership numbers begin with 11H or 12H.  The "Membership ID" column can be used to quickly and accurately sort the attendee list to ensure you are marketing to your target audience only.

Guest Pass Initiative

Exhibiting Commercial Members have the opportunity to purchase guest passes to the 2012 International MUSE Conference for their non-MUSE member customers.
 
GUEST PASS PROGRAM GUIDELINES 
  • Only non-MUSE member MEDITECH hospitals, or a non-MEDITECH hospital that is considering purchasing MEDITECH within the next twelve months, are eligible for this program.
  • Non-MUSE member hospitals are only eligible for guest passes for one event. 
  • The host Commercial Member can purchase up to two guest passes per hospital.  The hospital must either become a MUSE member or pay the non-member registration fees to attend any future events.
  • The guest attendee must be any employee of the guest hospital; consultants or contractors are not eligible to attend the conference under this initiative.
  • Both the guest attendee(s) and the host Commercial Member are eligible to attend the New Attendee Welcome Reception.
  • Guest passes cost $395 for the full conference or $250 for a one-day registration.  
  • If the guest hospital joins MUSE within 12 months of attending the International MUSE Conference, then the Commercial Member is eligible for a credit - equal to the cost of one guest pass - towards its next annual dues.
  • A Commercial Member who convenes any of the guidelines may be subject to a penalty of up to 4 Priority Points and will not be eligible to purchase guest passes for future events.      
    

 Marketing Supports

 In order to help support your marketing efforts, MUSE has developed signature attachment and web ads for you to use in your emails and on your website. The graphics allow you to add your booth number - and it can be linked back to conference web page. Click on the graphic to download the PSD version.

 


Product Education Opportunities

The Call for Participation is now open and will remain so until Wednesday March 14th. Once the Call for Participation is closed, the MUSE EducationCommittee will review all abstracts and select the presentations expected to bring the most value to the schedule. The selected sessions will form the Product Education tracks

Those companies who submit sessions that are not included in the schedule will be notified and all application fees refunded.   Sessions will be scheduled primarily based on the overall impact on the Conference Schedule, but with consideration of assigning preferred time slots to those with the highest Priority Points.

MUSE will be charging $299 for the fifty-minute sessions that run on Friday afternoon and will reimburse the difference when the timeslot is assigned. If your preference is Friday afternoon, you can indicate that on the Call for Participation form for consideration.
 
Some of the key parameters and rules regarding Product Education sessions have changed, so please review the following points carefully:

 

Product Education Guidelines

 
  • Product Education sessions are solely intended to educate the MUSE audience on products that directly complement the MEDITECH HCIS.   MUSE will review all Product Education sessions and will reject any sessions which do not meet this guideline. The presentation title, abstract and the presenter’s bio must be submitted with the application, and must accurately reflect the presentation that will be offered at the conference.
  • MUSE makes no guarantees regarding the date and/or time that any session will be scheduled. Preferences will not be considered unless solicited by MUSE. This may occur in situations where scheduling options are available. In those situations, preference will be given to companies with the highest Priority Points.
  • Product Education payments are final and non-refundable with the exception of declined abstracts and partial refunds due to price difference in timeslots.
  • Should a Commercial Member not show up to a scheduled Product Education session or fail to give 30-day advanced notice to cancel a scheduled Product Education session, a penalty of up to 4 Priority Points may be assessed against the Commercial Member in question.
  • Product Education sessions are governed by the MUSE educational sessions regulations, specifically the directive for appropriate professional conduct. Unacceptable conduct includes (but is not limited to) the following:
  1. Comparing a product or service to another Commercial Member’s product or service or a product of MEDITECH.
  2. Criticizing or otherwise representing a MEDITECH product or another Commercial Member’s product or service in a negative or condescending way.
  3. Utilizing an “audience plant” to champion a specific product or service or to compare a product or service of that of another Commercial Member or MEDITECH.
  4. Offering incentives for a facility member to attend the product information session.
If a MUSE member reports inappropriate conduct during the Product Education session, the Commercial Member will face a penalty of 4 Priority Points and may lose the privilege of purchasing Product Education timeslots at future conferences.
 
Commercial Members may attend a product demonstration of another Commercial Member only if invited to do so by the presenter. It is the responsibility of the presenting Exhibitor to monitor his/her own product demonstrations to ensure that no uninvited members of the Commercial Member community are present. Should the presenting Exhibitor be faced with a situation where an uninvited Commercial Member is present, he/she may privately and discreetly request that the Commercial Member leave the demonstration area. Should the uninvited Commercial Member fail to do so, a MUSE representative can be summoned. If the Commercial Member fails to leave at the request of the MUSE representative, a penalty of 4 priority points will be assessed against the Commercial Member in question.

Conference Schedule & Exhibitor Directory

 

We are excited to present an environmentally friendly option in place of a printed Exhibitor Directory. And it's part of the popular online Conference Schedule. The International MUSE Conference Schedule & Exhibitor Directory will be available both online and in a format that is easily downloadable! This new format will be promoted to attendees as the most reliable and current information available. 
 
 
The Exhibitor Directory will provide every exhibitor with a
basic listing at no charge.
 
 
Exhibitors have the option to enhance their listing with extended descriptions, logo, website and marketing materials, as well as additional category listings (some fees apply).

MUSEO? What’s that? MUSEO – like a “Bingo Lottery” – uses a game card to allow conference attendees to collect stickers and win prizes.   
 
Each attendee is issued a game card. Each game card has a square with the name of each participating exhibitor. When attendees visit an exhibitor’s booth, they can receive a sticker to place on the appropriate square of their MUSEO game card (stickers are supplied). Attendees with completed game cards are eligible to win donated prizes.
 
For those exhibitors who wish to participate there is a $100 fee and you must also donate a prize worth $100 US or more. 
 
Recognition is given to the donor as the prize is presented. This is a proven method of increasing your traffic and exposure at this conference! 
 
To be included in MUSEO you must pre-register before 5:00 pm PT on Friday, May 11, 2012 and have your $100 gift delivered to the MUSE registration desk by 4:00 PM on Wednesday May 30, 2012.  If your organization commits to MUSEO and does not provide a gift by the time indicated above, a $100 gift will be purchased on your behalf and your company will be invoiced $100 for the gift and an additional $100 processing fee.
 



Lead Retrieval

Lead retrieval is a service that is essential to maximizing your success at the event. All attendees visiting the show floor will have a name badge with a barcode that contains registration information and demographic data that is not available on a business card. The available lead retrieval system allows you to capture each potential lead electronically without worrying about losing business cards or important qualifying information. This year there are multiple units available with a variety of prices and functions.
