With short timeframes and high stakes, now is the time for MEDITECH hospitals to share and share alike. As MEDITECH users, we have the tools we need to meet the Meaningful Use requirements and earn the hefty incentive payments – but we don’t have the leisure of a decade or so to do it. At this MUSE event, Citizens Memorial Hospital (CMH) will discuss the Meaningful Use requirements and how we are working to meet them. Learn how being Stage 7 helps, but isn’t required.
And, since there will still be life beyond Meaningful Use, CMH will also discuss some of the modules and techniques used to make the most of MEDITECH in the revenue cycle and business applications and on the technical side. With three tracks (business, technical and clinical), there’s something for everyone!

Long Term Care Road Show

Learn how Physician Order Management, eMAR and BMV work together to decrease medication errors in Long Term Care. See how CMH use an alternative to wrist band identification for BMV, and how they communicate and work with multiple retail pharmacies to create their medication bar-coding system. CMH will discuss nursing documentation in LTC and the use of the status board and clinical alerts. Learn how they have interfaced vital sign and blood glucose results to the resident EMR – this process eliminates the need for users to manually enter documentation and no longer worry about transposed numbers. And, hear how resident charging has been streamlined using MEDITECH LTC.

An overview of MEDITECH's near-term and future project activity to assist with your organization's strategic planning initiatives.
Presenter: Karen L. Farrell, M.Ed., BS MT(ASCP) is a marketing director at MEDITECH. With 25 years healthcare informatics experience, Ms. Farrell provides direction and oversight to strategic planning and operations initiatives with an emphasis on systems design and collaboration. She and her team are responsible for building and managing the company's business development and customer relationship programs including advisory committees and educational forums. Ms. Farrell earned a Bachelor of Science in Medical Technology from the University of New Hampshire and a Master of Education in Organizational Management from Endicott College.
Navigating ARRA mandates with MEDITECH*
This session will provide an overview of ARRA's HITECH Meaningful Use criteria and how your current MEDITECH and LSS systems can help position your organization for achieving your meaningful use goals. Understanding MEDITECH's commitment to our customers through strategic planning and highlighting the Advanced Clinical, Financial, Reporting and Interoperability solutions that can help prepare your organization for success with Meaningful Use.
Presenter: Melissa Swanfeldt is a marketing director at MEDITECH. Her 20 years experience in healthcare information management has helped shape MEDITECH’s marketing strategy and product offerings in Financial, Health Information Management, and Advanced Clinical solutions. She is responsible for directing all product demonstration efforts, developing marketing strategy, and assisting customers with their strategic planning initiatives. Ms. Swanfeldt earned a Bachelor of Science degree in Health Information Administration from Northeastern University in 1990. Prior to MEDITECH, she worked for the U.S. Public Health Service where she was commissioned to improve public health in rural and underserved communities and was a supervisor of medical records at New England Baptist Hospital, in Boston, MA.

2:00 pm Electronic Billing in a Paperless World
Discover professional and institutional billing using electronic claims*, remittances and the new denials management routines available in 5.6. Come and see CMH’s time and paper saving processes in the billing applications.
3:00 pm Patient Friendly Admissions Across the Continuum of Care
Follow a patient through the community as CMH demonstrates the value of electronic processes applied during the admission routines. This session will include demonstrations on electronic insurance eligibility*, accurate capture of demographics*, a patient boarding pass, and patient friendly scheduling and registration processes.
4:00 pm Supply Chain Processes and AP Optimization
Learn how CMH utilizes MEDITECH to accomplish each step in the supply chain process, including online supply requisition templates and electronic PO’s via EDI to management of medical supply inventories through the MM/OR interface. Management of supply expense at CMH has also been enhanced through optimized use of documentation management to improve the invoice approval process. The solution includes the use of electronic approval. This process allows CMH to know the total number of invoices in the system and where they are in the approval process. The system integrates with MEDITECH so that electronic images of the invoice are indexed to the AP system.

2:00 pm Downtime Planning
A fully implemented EMR is a tremendous responsibility. CMH is continually searching for ways to prevent, reduce and survive downtime. In this presentation, CMH will cover everything from the read only/downtime EMR and downtime scripting to scheduled downtime preparation.
3:00 pm ISB/IDR
Disaster recovery was becoming increasingly difficult due to growth, the traditional resync, and a huge EMR. Join CMH in this session to review the transition to integrated serverless backup/integrated disaster recovery. This session will cover the purchases, implementation and benefits.
4:00 pm Network/Wireless
CMH has learned a few things about networks and wireless in the last eight years. In this session, CMH will cover their wireless network (100 access points, 600 wireless devices, security, bridges, MiFi, and guest WiFi) and wired network (WANs, MANS and VLANS). Oh yeah, they will even talk about providing free WiFi to the Bolivar square via the court house cupola!

CMH will be offering a live demonstration on the use of MEDITECH’s PCS application to reach Meaningful Use. This will highlight the use of one past medical history across the continuum of care, allergies*, med list verification and reconciliation*, sending clinical notifications on pertinent data, capturing vital signs and smoking status*, point of care devices and much more.
3:00 pm Physicians and Meaningful Use
This session will outline how CMH continues to work to bring their physicians on board the Meaningful Use train. CMH will cover CPOE*, medication lists/med reconciliation* from the physician perspective, alerting*, building decision support* into orders and physician documentation, and use of the problem list*.
4:00 pm Electronic Data & Exchange for Meaningful Use and Patient Engagement
CMH will discuss their strategies to meet the Meaningful Use requirements for providing electronic copies of information* and standards-based interoperability*. Those strategies include the use of the LSS Patient Portal and integration with the GoogleHealth personal health record. Come hear how those strategies are good for meeting Meaningful Use and for engaging patients as empowered partners in their own care.

Presenter: Christine Silva is a marketing manager at MEDITECH. In her current role, Ms. Silva is responsible for leading marketing efforts for the Laboratory, Pharmacy, and Imaging and Therapeutic Services applications. She joined MEDITECH in 1996 as a member of the Laboratory Information Systems Implementation team. During her 14 years tenure at MEDITECH, she has taken on many roles, including Supervisor for the Laboratory products in MEDITECH’s Client Services Division and has been instrumental in shaping MEDITECH’s ancillary clinical product offerings. Ms. Silva earned a Bachelor of Science degree in Biology with a concentration in Medical Technology, and a minor in Chemistry from Salem State College.
Financial Systems Highlights
Over the past few years, you have heard much about MEDITECH's advanced clinical solutions. However, our multi-disciplinary teams have been equally hard at work on our financial and administrative products and we are happy to share the news of enhancements to our financial product solutions. Topics will include Human Resource Management, Reporting Solutions, Regulatory changes and more.
Presenter: John MacDonald is a senior marketing support representative at MEDITECH). His 10 years at MEDITECH have brought him experience in the Reimbursement, Decision Support, General Financial, and Employee Financial products with the rollout of MEDITECH's Human Resources solution. Mr. MacDonald currently promotes the General Financial and Enterprise Planning suite of products to meet the unique needs of the healthcare environment such as staffing challenges and the need for increased efficiency. Mr. MacDonald holds a Bachelor of Science in Business Administration from Suffolk University in Boston.

9:00 am It’s All About the People
This session will provide an overview of how CMH is using MEDITECH HR to move towards a paperless HR environment. Learn about CMH’s use of the Employee Gateway to eliminate printing and distribution of direct deposit notices and stay connected to employees through badge and leave requests, demographic updates, viewing open positions and applying for transfers. CMH will discuss use of the HR module for manager viewing, organizational charts, requests for personnel, employee status changes and online applications.
10:00 am Equipment & Contract Management using MEDITECH
It seems to be little known that MEDITECH MM includes an Equipment Management Solution. That solution allows preventive maintenance work orders to be scheduled and promotes uniformity of equipment maintenance across the CMH long term care facilities, hospital and clinics. Embedded within the Equipment Management Solution is a service contract routine that allows CMH to associate contracts to equipment and monitor when contracts are due to expire. The Equipment Management Solution provides reports that allow CMH to monitor maintenance records with the goal of helping better plan for equipment replacement. Lessons learned during implementation will be discussed during this session.
11:00 am Health Information Management in a Paperless Environment
Learn about utilizing the MRI module to bring Health Information Management daily routines into the electronic age. This session will include quality checking the electronic chart, sending incomplete record (ICR) notifications to the physician desktop in PWM, and MRI desktop routines. Optimization of the release of information (ROI) using document management will also be discussed.

10:00 am External Access, Citrix, Remote Access/Dameware
The CMH paperless EMR has no boundaries. CMH has created a "virtual hospital" with external access for employees, providers, board members and patients. Come see how entire groups of employees work remotely, referring providers check on patients, and patients check on themselves!
11:00 am MEDITECH Home Care & Well@Home
CMH has had great success reducing the re-admission rates and use of emergency services by home care patients using the MEDITECH Home Care Solution. The Home Care Solution is a process-driven software that guides clinical and revenue cycle staff through the daily work flow in an efficient and timely manner. In this session, CMH will demonstrate the functionality including an in-home visit with nursing completing real-time documentation. Plus, you’ll get to see how patients are engaged and providers are connected using the Well@Home in-home tele-management system.

9:00 am MPM and Meaningful Use
LSS Data Systems will join CMH IS Specialist Karrie Ingram in this session. CMH will showcase its efforts to make Meaningful Use requirements beneficial to their patients, seamless to their users, and profitable to their organization. Included will be an overview of e-Prescribing*, the Med List, making the Problem List* less “problematic” and using Health Maintenance/Disease Management* to its fullest to keep their patients on track with proactive care. Incorporating these functions into the normal workflow of a clinic visit are key to their success and will be demonstrated. LSS will augment with what’s happening on their side to assure that LSS customers have what we need to meet the Meaningful Use requirements.
10:00 am Quality Reporting*
An extensive expansion of quality reporting is described in the proposed rule for Meaningful Use. Since “electronic specifications” for those quality measures don’t exist, we’ll all be left to figure it out ourselves for a few years. Come hear how CMH is using data extraction, custom queries, standard and NPR reports to meet the quality reporting requirements for meaningful use.

Come join CMH for an exploration of an ED visit from the nursing, registrar, coder, provider, and most importantly patient’s perspective. Determine if the patient is lost in the shuffle or remains the focus of the visit.

1:00 pm Certification* and the MEDITECH Certified Versions, 5.6.4 & 6.0
We provide an update on certification requirements for Meaningful Use and the MEDITECH priority pack updates likely to be needed to get on the certified version. Plus, hear an overview of the UPT module and how to make the upgrade to 5.6.4 a success.
Preparation: The Key to a Successful 5.6 Update (via webcast)
Client Server 5.6 is designed to push data to the end user as much as possible through a vehicle referred to throughout the applications as a desktop. The desktop design will result in a major reworking/rebuilding not only of Access dictionaries but of menus, customer defined screens and LAB Entry screens, to name a few. The Upgrade Tool (UPT) application compiles a Worklist of items, unique to your organization, that help walk you through the update testing phase from beginning to end. These items include the ability to provide immediate access to the desktops for superusers so they can start reviewing the system as soon as possible and the dictionaries that need to be edited in order to bring the update live successfully. Once these dictionary edits are filed through UPT during the testing phase, they will automatically be filed to LIVE on LIVE day. The end result is reduced downtime on LIVE day!
Presenter: Gina O'Mara is a supervisor in the Client Services Division at MEDITECH. She and her team of specialists are responsible for managing software updates to MEDITECH's 2000 plus customers. By constantly reviewing and improving upon current processes, identifying common trends/issues and proactively providing fixes the Update Team ensures a successful, smooth update process for customers. Beginning her career supporting the Laboratory Information System, Ms. O'Mara's 10 years experience in healthcare informatics and her project management skills have helped contribute to MEDITECH's reputation for service excellence. Ms. O'Mara holds a Bachelor of Science in Health Policy and Management from Providence College.
